IT support for charities and membership organisations.

Lanmark provides managed IT support for charities, professional bodies and trade associations: help with Microsoft 365 licensing after the end of the nonprofit Business Premium grant, controlled access for trustees, staff and volunteers, and 24x7 security monitoring on Lanmark Total. We do not give legal or regulatory advice.

£55 to £65

per user a month (or per device, if fewer) on Lanmark Total, ex VAT. A 25-user organisation pays about £55 per user. 12-month term.

What is different about IT in a charity or membership organisation?

Small teams, tight budgets, many people who come and go, and data about supporters, beneficiaries and members to protect.

Trustees stay responsible
You can delegate IT, but not the responsibility. Trustees need plain answers about what is in place.
Budgets that must go further
A published price per user and no hidden fees make it easier to plan. Microsoft licensing changes can move the bill.
People who come and go
Trustees, volunteers, part-time and field staff. Each needs the right access and no more, and leavers need it removed.
Supporter and member data
Donor, supporter and membership records are personal data. They have to be protected and backed up.
Funders asking questions
Some funders and commissioners ask about security, and Cyber Essentials can be a deciding factor.
Fundraising systems
Donor and membership systems have to record marketing preferences and opt-outs. Tell us which you use.

Microsoft’s free Business Premium grant for charities has ended

From 1 July 2025 Microsoft discontinued the Microsoft 365 Business Premium grant and the Office 365 E1 grant for nonprofits. Existing grant licences run until their next renewal date and then end.

Microsoft says it still offers up to 300 granted licences of Microsoft 365 Business Basic, and discounts of up to 75% on many Microsoft 365 nonprofit offers, including Business Premium and Business Standard. Transitions have to be done manually in the Microsoft 365 admin centre, and Microsoft recommends working with a partner.

Lanmark is a Direct Microsoft Cloud Solution Provider. Our free licence review compares what you pay for with what your people actually use, and sets out a sensible next step. Eligibility and discounts are decided by Microsoft.

Fundraising email rules changed in February 2026

A charitable purposes soft opt-in for fundraising and marketing came into force on 5 February 2026. The Fundraising Regulator says charities using it must record each person’s marketing preferences, the lawful basis being used, and anyone who has opted out.

Whether you can use the soft opt-in is a legal question for your own advisers and the Fundraising Regulator’s guidance. What we can do is help set up your systems so preferences and opt-outs are recorded and backed up properly.

Which IT controls support your obligations?

The Charity Commission says trustees remain responsible even when IT is delegated. We do not give legal or regulatory advice. We help you put in place the IT controls that sit underneath your obligations:

  • Individual accounts and multi-factor authentication for staff, trustees and volunteers.
  • Managed settings on devices that access your data, with access removed when people leave.
  • Microsoft 365 backup, so email, files and Teams can be restored.
  • Staff and volunteer phishing training.
  • Monitoring: on Lanmark Total, a security team watches your environment 24x7x365.
  • Help towards Cyber Essentials, which some funders and commissioners ask about.
Cyber Essentials certification

What does it cost?

The price per user is published, with no hidden fees. Priced per user or per device, whichever is fewer. Volunteers count like part-time staff, and a charity with thirty people sharing eight computers is charged on eight. We have different arrangements for office-based and field-based staff, so tell us who does what.

What do charities ask about IT support?

What did Microsoft change for charities in 2025?

Microsoft discontinued the Microsoft 365 Business Premium grant and the Office 365 E1 grant from 1 July 2025. Existing grant licences expire at the next renewal. Microsoft says it continues to offer up to 300 granted licences of Microsoft 365 Business Basic and discounts of up to 75% on many Microsoft 365 nonprofit offers. Transitions have to be done manually in the Microsoft 365 admin centre.

Can you review our Microsoft 365 licences?

Yes. Lanmark is a Direct Microsoft Cloud Solution Provider, and our free Microsoft 365 licence review looks at what you pay for and what you use. Eligibility and discounts are decided by Microsoft.

Do trustees remain responsible if we outsource our IT?

Yes. The Charity Commission says you may be able to delegate cyber security to someone such as an IT team, but all the trustees remain responsible. We help you put in place the controls and tell you plainly what is running, so trustees can ask the right questions.

Can you help us record fundraising email preferences?

We can help set up your systems to record preferences and opt-outs. Whether you can use the charitable soft opt-in, in force since 5 February 2026, is a legal question for your own advisers and the Fundraising Regulator’s guidance.

How do you keep volunteers’ and trustees’ devices safe?

With multi-factor authentication on every account, managed settings on devices that access your data, and clear rules about what can be reached from a personal device. We would agree the approach with you.

What support is there out of hours?

The service desk runs Monday to Friday. 24x7 support is available on request.

Do you give legal or regulatory advice?

No. We help you put in place the IT controls that sit underneath your obligations. What those obligations are is a matter for your trustees, your own advisers and the Charity Commission.
