What is different about IT in a media or marketing business?

Creative teams are fast, deadline-driven and often Mac-first, and they hold other people’s unreleased work.

Macs and PCs side by side
Creative teams often run both. Devices have to be set up consistently, and a new starter should be working on day one.
Huge files and project archives
Multi-gigabyte projects and years of archives strain standard cloud storage and sync limits. Where files live matters.
Creative software on deadline
A licence that fails on pitch day or a version clash costs hours. Tell us how you manage creative software.
Freelancers and suppliers
Contractors need access to the right projects and no more, and it must end when the job does.
Clients’ questions about security
Corporate clients send security questionnaires and may expect Cyber Essentials. You need accurate answers quickly.
Shared logins and client social accounts
Agencies run channels for clients. A shared password is a risk to the client’s brand as well as yours.

Your clients’ accounts are a risk you carry

When an agency runs a client’s social media or email marketing account, an account takeover costs the client and damages the agency’s reputation. The weak point is usually a shared password or the email account behind the login.

The police-led South East Cyber Resilience Centre advises securing the linked email account when recovering a hacked social account: change the password, check for forwarding rules, log out other devices and turn on multi-factor authentication. It is better to do that before anything goes wrong.

We can help you move to individual sign-ins with multi-factor authentication for everyone who touches a client account, and secure the email accounts behind them. On Lanmark Total a security team also watches your sign-ins around the clock.

Phishing simulation and training

The Institute of Practitioners in Advertising asks agencies ten cyber questions

The IPA, the advertising trade body, published ten cyber security questions for agency leaders in June 2024. They start with multi-factor authentication on business accounts, then staff training, backups, passwords, device security, email security, data security, what information is public, cyber insurance and being ready for an incident.

Those are the questions your clients’ procurement teams are likely to ask too, and the NCSC says a growing number of organisations require suppliers to hold Cyber Essentials to bid for work. We help you answer all ten with evidence, and help you get Cyber Essentials if you need it.

Which IT controls support your obligations?

We do not give legal or marketing-law advice. We help you put in place the IT controls that sit underneath your obligations:

  • Individual accounts and multi-factor authentication, for staff, freelancers and anyone using a client account.
  • Access limited to the projects each person works on, removed when they leave.
  • Managed Windows and Mac devices, ready for new starters on day one.
  • Microsoft 365 backup, so email and files can be restored.
  • Staff phishing training, because email is where most attacks start.
  • Help with client security questionnaires and Cyber Essentials.
Microsoft 365 backup

What does it cost?

The price per user is published, with no hidden fees. Priced per user or per device, whichever is fewer. A studio whose freelancers share three computers counts those three, not each freelancer.

What do media and marketing firms ask about IT support?

Can you support both Macs and PCs?

Yes. We support Windows and macOS devices. Tell us how your Macs are managed today and we will talk through how we can help.

Our project files are huge. Can Microsoft 365 cope?

Up to a point. SharePoint has a 250 GB limit per file and Microsoft recommends no more than 300,000 files in a synced library, and tenant storage is 1 TB plus 10 GB per licence. Large creative archives often need another approach. We can look at what you hold and what suits it.

Can you help with Adobe Creative Cloud licences?

Tell us how you buy and manage them today. We look at your set-up with you at the first meeting and talk through how we can help.

How do you handle freelancers and contractors?

Each person gets their own sign-in with access limited to the projects they work on, and it is removed when the job ends. Shared passwords are what we try to avoid.

How do we protect our clients’ social media accounts?

Use each platform’s own team access, with an individual login and multi-factor authentication for each person, rather than a shared password. Secure the email account behind each login too. Police-led cyber resilience advice includes securing the linked email account when recovering from a hack.

A client has sent us a security questionnaire. Can you help?

Yes. We can help answer the technical questions accurately and help you get Cyber Essentials, which a growing number of organisations ask their suppliers for.

Is there support outside office hours, for example before a pitch?

The service desk runs Monday to Friday. 24x7 support is available on request.

How quickly can you take over from our current IT provider?

SmoothSwitch starts with a free IT review and a free 30-day trial with Lanmark running alongside your current provider, so the handover is checked against live tickets.
